P6 + P1Buisness game report and MIS effectivness

Report about the decisions made and the justification why.
While playing the business game a lot of information was placed in front of me that helped me make my decision. Above is a link to some of the information screenshots. Below is a week log for the business game.
Week 1
When I started the business game I was told to see Sam a successful friend who suggests that I should put up set up the holiday window. He also suggests getting rid of any old replica kits and ordering the new ones. He also suggests promoting the new kit too. After I did what Sam suggested I decided to make some decisions on the knowledge I knew which was that the business should become a company, I needed the footfall numbers to see if what I am doing is attracting customers, security, insurance and advertisement for the business. I also take £20,000 out of my bank account to help the business take off. I made these decisions because the footfal counter for example will allow me to see if what i am doing is attracting customers or not.
Week 2
The next week I had a few things that needed to be taken care off. This was to receive my 20,000 and to inform me that my business in now a company. Sam offered to join my board of directors for £150 a week. everything I ordered last week has been applied. Because I have received the large sum of money I can now afford some things that I weren't affordable before. These things were to have a replica kit printer which will allow for shirts to be printed. Before I get any employees I decide to improve the staff room so that I wouldn't need to do it later when money is at a critical state. After that I will put up a shop window want sign as this is a cheap way to get people but also your guaranteed not to loose money from trying to acquire employees. I also decided to advertise the male replica kit on a sports channel which should help it sell and attract some new customers.
Week 3
When this week started I had some candates ready to be interveiwed to see if they will be able to get the job. A job applicant i found that would help the buisness is linda and trevor. Both producing convincing and worth while CVs.
The features and benefits of a MIS
Features
One of the features of having a MIS is that it helps managers make effective decisions. The decisions that they make are from the information, which would be facts and figures that are from the company internally, in the MIS.
Another feature of a MIS is that there is a reporting system. A reporting system is that the MIS can make reports at specific times. This could be every week (like the business game), every month, every year but also every hour or even every day. However some exceptions to this are when some things happen a report can be made at any time so during the day a few minutes after the hour.
Benefits
A benefit of having a MIS is that it will allow for fast and reliable information to be accessed. This means that they will have access to a ever extending knowledge base.
The effectiveness criteria for the MIS in the business game
The MIS in the game has response time of every week. The report is mostly financial but it does show my staff motivation and health. This because the report must show how I am doing every week as if it was any longer then the store wouldn't do well. Also if the report was everyday or 4 days then the MIS will struggle to keep up with the demand.
The MIS system in the game is very accurate. This is because the values that are shown are not rounded up. This means that the true value is shown rather than a values that was rounded to make it a lot easier. As well as that it uses a arrow system to show whether a value has increased or decreased. This will help make a better decision as this will show what the effect the last decision made. You will find that when you look at the report you will not be able to spot any errors. If the report had any errors then the data displayed will be inaccurate and incorrect. This will then lead to a bad decision. That decision will then lead to a massive impact on the store.
The sustainability of the MIS report is that it is laid out to be easily read but to also clearly show all of the information. The information presented shows the current or past finance of the company. The shelf-life of the report will last a while before it become irrelevant as it will be too far in the past. This is because the report can be used to see if any progression in the company has been made. The report must have a long shelf-life because of the cost of having to make the report. If the shelf-life is very short then the company will start to loose money in the reports being made. Also there has to be a reason for the report which would be so the company can know how they are doing. To see if there are any areas that needs improving.
The confidence of the MIS in the business game is that it is partially usable. This means that I (the user) don't find it the most reliable way of viewing information. This is because the information displayed does show if you are losing or gaining money however even though the profit margin increases the company somehow still manages to go bust.

Legal issues
The legal issues are that there are acts in place to keep information secure. These acts are put in place in a company by a data commissioner. What the act covers is data about the data subject. This would be personal data about them which could be their date of birth, address, bank balance, criminal records etc. The data user is someone who can look at the data but cannot edit or copy it. The data controller however is the person who ask for permission for data to be collected about the data subject and stored. They also decide what data should be collected.
You can have personal data which is very sensitive (sensitive data). This data, and other personal data, cannot be shared. Personal data can only be shared for specific reasons. Those reasons are if the police need to see for any recent convictions or if a religious school wants to know your religion.
The acts are the Data protection act, Freedom of information act and the Computer misuse act.

The Freedom of information act is where any data collected about you can access or even have a copy of. A example is that when you go to a job interview you can ask for a copy of the notes that the interviewer took about you. This would help you find out the good parts about you but also see if the interviewer was bias.
This could effect the company if the information that is given to the data user is harmful in any way. This is because if the data user finds information that is harmful then the company can get sued which will give the company a bad look which would be for being judgemental. This isn't good as any potential employees will be lost and the company may also loose staff as well. The current staff would leave because of them not wanting to be with a bad company.
However when a company or individual want information about from the public authority (Police, NHS, colleges and schools) can refuse to give information if it is not under the act or it can damage any interests.
The computer misuse act covers 3 parts. Unauthorized access to computer material, unauthorized access with intent to commit or facilitate a crime and unauthorized modification of computer material.
Unauthorized access to computer material is where a person gains access to someone's account. No matter what you do you are breaking the law and will be in prison for 6 months and get a big fine which has to be paid. Even if you did not move, delete, copy or do any damage but just looking at their files then that's when you go to prison.
Unauthorized access with intent to commit or facilitate a crime is where as well as gaining access to someone's account but instead of just looking at their files you decide to do a crime which would be to copy the files for yourself or getting into their bank account and taking all of their details or even to send some cash from the account o yours. This will give you 5 years in prison and even bigger fine which has to be paid.
This would effect the company because if the companies CEOs computer is accessed and then any personal files or files that are critical to the company is lost or changed, will create havoc to the company. Any files that get out to the public will give the company a bad look and will make the public avoid them. If this effect lasts for a long time the company will fail and become bank rupt.
Unauthorized modification of computer material is where you gain access to someone's account and you change or delete the files that belong to them or even do this to the companies files. Its also illegal to intend to give someone else a virus however it isn't illegal to write your own. Its not wise however to do so. This carries 5 years in prison and a hefty fine.
Ethical issues
The ethical issues are that companies will make a code of practice so that when anyone uses the computer there will be rules on how it is used. The code of practice also can state who has and hasn't got access to the computers in the company.
The problems of using e-mails in a company is that e-mails is can sometimes contain bad things. Companies will set up a rule that only a certain amount of personal e-mails can be on your company e-mail. The e-mails which are sent from that account cannot be threating or harassing but also cannot be spamming. These things can get you band from using or viewing e-mails.
How e-mails can affect my company is that if a customer receives a inappropriate e-mail then this will give my company a bad look. This is because the customer will tell other relatives and friends about the e-mail which then will make them avoid the company. The impact from this is that if they tell other friends then this will make a knock on effect and the company will start to lose money and be less respected by the public.
The problems with the use of the internet in a company is that internet can be used in different ways and sometimes it can be used to do unprofessional things inside a companies network. What a company would do is that the company will set up that a filter will remove any harmful results from internet searches. Also the company will also make sure that any banned sites cannot be accessed. In a lot of companies will also measure everyone's internet usage. Some companies will give people usage limits and once the limit is reached they will not be able to access the internet any more until the usage is reset.
How this will effect the company is that if a worker tries to cause any harm on the internet then the company will get the blame for it. If a company gets blamed for something then these will leave a permanent scar and later cause the company to be avoided. Thus losing money and respect by the public.
Whistle blowing is a issue for most co workers but also a issue for most companies. This is because whistle blowers are considered by other people as trouble. It is a problem for companies because they will have to protect the whistle blower from other people. However whistle blowers aren't always the best because sometimes they will point out problems which have been discovered by another person or department within the company.
Operational issues
Security of information, Backups, Health and safety, organisational policies, business continuance plan, costs, impact of increasing sophistication of systems.
Security of information. The issues with the security of information is that the IT support department is expected to keep its information safe. In a company it is management which can only decide who can update or look at the data.
How this will effect the company is that if any information is compromised then any registered customers will be informed about this, which would cause them not trust the company, but also this will cause a lot of hassle for the customers as they will have to do things to prevent fraud from happening. This will also make customers be angry at the company making the company look bad.
Backups. It is important for a company to back up their files because this will mean that if there is a catastrophic failure in the companies system then they will have something to back up on.
How this will effect the company is that if the company doesn't back up their systems then when the system fails the company will be badly affected. If it is to sivear then the company will not be able to recover thus causing it to shut down. This will give the owners of the company along with me a really bad look.
Health and safety. It is important for health and safety to be considered in IT. The most common are with way the computer is used. For example the position of the monitor and peripherals.
Business continuous plan (BCP). A business continuous plan is where if the IT system fails then the business has a back up plan. Fareham college has a BCP where if one of the servers fail then they can acquire a new sever and use a disk to put the data onto the server. As well as a disk backup all of the data will be backed up on a server in Cemast. The way normal companies would do is that if for example one of their servers fail then the other server can still keep running so that work isn't brought to a stand still. All places would make sure that their servers are connected to more than one place and that some back ups are kept of site in case of serious problems.

P1 Using information

The poster shows how data that is transformed into information by a company or organization. The poster shows what sorts of data that companies will receive and what department will use that data to transform it into useful information. Some of data received would be numerical data about how many of the same product has been sold. This data will then be sent to the sales department where they will make a report that will contain the products name and how many have been sold. What they will then do is use the sold information to work out how many are left to work out a wastage ratio.
Information is used by all companies around the world. One of the companies that uses information very well is Sainsbury. This is because the information they use help determine what they should do. Some of the information they would collect would be which product is selling very well as this will help then tell another department that that product needs restocking.

When data is collected it has to be transformed into data. This means that what is being collected has to be identified whether it is data or information. It has to be collected, processed and stored. Manipulated, retrieved and presented.

Some of the places information can be stored is on servers, personal computers and in filing cabinets (hard copy). This stored data can be retrieved by accessing the places it is stored. However the stored data as a hard copy has to be duplicated so that the original isn't affected. On some network systems the data can be retrieved by any computer on the system, unless there is a security level connected to it. Once the data is retrieved it can be used.

When the data is retrieved if it is numeric values for the amount of apples being sold every week then the data can be manipulated into a line graph to show whether the amount being sold is increasing or decreasing. Information can also be manipulated to be more direct or to show comparisons, manipulated to be more graphical or manipulated for use in reports. When data is being manipulated for a report some of it will have to go as it will make the paragraph or sentence it is on more correct rather than showing the whole piece and making it confusing.
